    Follow-up Sequences

    Updated June 3, 2026Swokei

A follow-up sequence automatically sends additional emails to leads who don't reply to your first message. Most responses in cold outreach come from follow-ups, not the initial email — setting up the right sequence is one of the highest-impact ways to improve your campaign results.

    Why follow-ups work

When someone receives your first cold email, they're busy. Your message lands in their inbox, gets read in 10 seconds, and mentally filed under "maybe later" — then forgotten. A polite follow-up a few days later resurfaces your message when they have more time or a shift in priorities. Research across cold outreach consistently shows that 50–70% of all replies come from follow-up emails, not the initial message.

Swokei automates this entirely. You configure your follow-up sequence once, and Swokei watches each lead's status, sending the right message at the right time. The system automatically stops sending further follow-ups the moment anyone replies to any email in the thread.

Setting up follow-ups during campaign creation

When creating a campaign, after you've set the main settings (language, subject line, sending mailbox), scroll down to find the "Follow-up sequence" section on the setup page. Click "Add follow-up step" to create your first follow-up. A new row appears with three fields:

    • Delay (days) — how many days after the previous email this follow-up sends. For the first follow-up, it's days after the initial email. For the second follow-up, it's days after the first follow-up.
    • Subject — optionally type a new subject line. If you leave it blank, the follow-up sends as a reply within the same email thread (recommended). If you type a subject, it sends as a fresh email with that subject.
    • Message — the body text of the follow-up email.

Click "Add follow-up step" again to add a second follow-up. You can add up to 3 follow-up steps per campaign. To delete a step, click the trash icon on the right side of its row.

Editing follow-ups on a running campaign

You can modify your follow-up sequence after the campaign has launched. Open the campaign from the Campaigns list and look for the "Sequence" tab or sequence editor section on the campaign detail page. The editor shows your steps in order. Click any step to edit its delay, subject, or message. Changes take effect immediately for all leads who haven't yet received that step — leads who already got that follow-up are unaffected.

To add a new follow-up step to a live campaign, click "Add step" at the bottom. To remove a step, click its trash icon and confirm deletion.

Changes apply instantly. When you edit a follow-up step in the sequence editor, the updated version is used for all future sends of that step. No need to pause or restart the campaign.

A practical example: the 2-step sequence

If you're just starting with follow-ups, a 2-step sequence is proven to work well:

    • Day 0: Your initial email (AI-generated for Smart Outreach campaigns)
    • Day 4: Follow-up 1 — a brief bump. Example: "Hi [name], just wanted to resurface this in case it got buried. Happy to share a few specific ideas for your site if useful."
    • Day 10: Follow-up 2 — a polite close. Example: "I'll leave this with you — if timing is ever right, feel free to reach out."

A 3-step sequence works equally well and can capture responses from people with longer decision cycles:

    • Day 0: Initial email
    • Day 3: Follow-up 1 — introduce a new angle or piece of evidence
    • Day 8: Follow-up 2 — lighter tone, reference the earlier emails
    • Day 15: Follow-up 3 — final message with a clear, low-pressure close
Keep follow-ups very short. A follow-up that re-pitches everything from the first email gets ignored or deleted. Two to three sentences — acknowledging you sent something earlier and offering a clear next step — is all you need. Brevity signals confidence.

    Thread replies vs fresh emails

When you leave the subject line blank on a follow-up, Swokei sends it as a reply in the same email thread as your original message. The prospect sees it as part of an ongoing conversation, not a separate blast. This is generally better because the earlier emails provide context without re-reading, reply rates are higher, and it feels more personal.

If you type a subject line, the follow-up sends as a completely new email with that subject. Use this approach only when you have a specific reason to start a fresh thread — for example, if you want to reference a new piece of information that deserves its own subject line.

    Automatic stop on reply

The moment a lead replies to any email in the sequence — whether it's the initial email, Follow-up 1, or Follow-up 2 — Swokei stops all future follow-ups for that lead. You don't need to do anything manually. This happens automatically and instantly.

Note: the sequence only stops on an actual reply. If someone opens your email, clicks a link, or visits your website, that doesn't stop the sequence. Only a reply (to any message in the thread) triggers the automatic stop. This is intentional — an open shows interest but not commitment, and the next follow-up often gets the reply.

Pausing follow-ups for a specific lead

Sometimes you're having a direct conversation with a lead in your real email inbox, but they're still "in the campaign" and scheduled to receive an automated follow-up. To prevent that message from going out:

    1. Open the campaign and find the lead in the lead table.
    2. Click on the lead row to expand it or look for a pause icon.
    3. Click "Pause follow-ups". That lead won't receive any automated messages until you resume them.
    4. To resume, find the lead again and click "Resume follow-ups".

    Timing best practices

    The spacing between follow-ups matters:

    • Minimum 3 days between steps — less than 3 days feels aggressive and hurts response rates
    • Day 3–5 for the first follow-up — this window sees the highest response rates. Don't wait 10 days for your first follow-up.
    • Maximum 3 follow-ups per sequence — four or more follow-ups rarely produce meaningful additional replies and can damage your sender reputation
    • Weekday sending only — Swokei automatically adjusts timing to avoid weekends and sends during business hours

What happens if you pause the campaign?

Pausing a campaign freezes all follow-up timers. The days paused don't count toward the follow-up delay. When you resume, timers continue from where they left off. A lead scheduled to receive Follow-up 1 in 2 days will receive it 2 days after resume, not 2 days after the original initial send.

    Testimonials

Agencies that let Swokei do the outreach

The main thing I like is that the emails actually have something relevant to say. Instead of sending the same pitch to everyone, I can mention their design, SEO or mobile experience without doing the research manually.

Great tool. I'd recommend Swokei to any web designer looking to get more web design clients.

We were already doing outreach for our web design company, but most of the time we were guessing what to say. Now we let Swokei analyze business websites, find real issues, and turn them into personalized emails we can still send at scale.
    Sanjay Purma
    Director
We run a small web design agency and outreach has always been one of those things we know we need to do but never had enough time for. Swokei made it much easier to keep it consistent.

We send far more outreach than before and it's more personal, not less. That combination just didn't exist for us until this.

One of my employees kept telling me to give Swokei a try. I was pretty skeptical at first, but after using it for a while, it quickly became part of our daily outreach.
